2009 General Terms and Conditions
Each property may have individual conditions & restrictions which are listed with their descriptions on the following pages. Hotels and condominiums booked as a package may have different terms and conditions. Space booked during Holidays have additional restrictions, penalties and payment policies.
RATES - All rates are subject to change without notice. Full payment only, IN OUR OFFICE, will guarantee rates. Certain air segments may have additional restrictions and full payment may be required at time of booking. Additional charges may apply for Gold Streak, Express Mail or FedEx delivery. Groups and special tours require deposits per supplier contracts. All last minute fees are nonrefundable. All reservations ticketed to protect fares are subject to cancel or change fees and may be nonrefundable.
DEPOSITS - A $125 per person deposit is due in our office within five (5) days of booking. Bookings without deposit are subject to cancellation without notice. Bookings may be held for five (5) days by guaranteeing payment with agency check number or credit card number. However, if payment is not received in our office within five (5) days, the booking will be cancelled without notice. Deposits are due when any portion of the reservation holds confirmed space (this includes air, car, hotel, neighbor island air and etc.). Some hotels may have different policies. Additional deposits may be required for special requests or passengers under the age of 18. Please identify all booking numbers associated with deposit payment!
CREDIT CARD POLICY - In consideration of All About Travel, Inc. accepting credit card charges for collection and issuing appropriate travel documentation the retail agency shall be liable for all charges placed on the credit card in the event that charge amounts are declined or for which charges are paid and subsequently charged back for whatever reason including the unauthorized or fraudulent use of the credit card. (Visa, MC, AMEX, Discover, Diners & JCB)
FULL PAYMENT - Full payment is due 45 days prior to departure for all Hawaii bookings. Reservations without full payment may be cancelled without notice. Please identify all booking numbers associated with full payment!
DOCUMENTS - All About Hawaii will E-doc, FedEx, Express Mail or have documents delivered via our sales representatives 28-21 days prior to departure. Documents may be requested for earlier delivery. Full payment is required before any documents will be released from the All About Hawaii office.
CHANGES - Documents not issued - there is no penalty except for holiday periods. Documents issued -
Exceptions apply for certain holiday periods and nonrefundable airfare. $125 per person for reservations that include Alaska airfare - $150 for Delta - $175 for Hawaiian, Northwest and United. An add/collect fee may also be charged. $125 per person additional for itineraries that include Alaska/Horizon Air connections. Neighbor island is $35 per person for Island Air and $55 per person for Hawaiian Airlines. $30 per booking for land only reservations.
CHANGES IN HAWAII: Airline Date Changes to Return while in Hawaii - Alaska $125 (Change/Pay with All About Hawaii OR in Hawaii) • Delta $150 (Change/Pay with All About Hawaii) • Hawaiian $175 (Change/Pay with All About Hawaii OR in Hawaii) • Northwest $175 (Change/Pay with All About Hawaii except holiday) • United $175 (Change/Pay with All About Hawaii) . Changes are required to be made in the original class of service with original routing. Subject to change without notice. Exceptions apply to certain published airfares and an add/collect fee may be charged. Itineraries including Hawaiian/Island Air outer island or Alaska/Horizon will be additional.
CANCELS - Documents not issued - no charge except for holiday periods or if land portion is under penalty.
Documents issued - Exceptions apply for certain holiday periods and nonrefundable airfare. $125 per person for reservations that include Alaska airfare - $150 for Delta - $175 for Hawaiian, Northwest and United. $125 per person additional for itineraries that include Alaska/Horizon Air connections. Neighbor island is $50 per person for Island Air and $55 per person for Hawaiian Airlines. $30 per booking for land only reservations. Additional charges will apply if air or land portion is under penalty.
LAST MINUTE BOOKINGS - Additional fees will apply for special delivery requests, international agencies and Saturday Federal Express. There is no charge for last minute E-tickets!
GROUP BOOKINGS - Terms and conditions for groups will deviate from normal F.I.T. guidelines.
NON-SMOKING POLICY - Hawaii is now a smoke free state. Smoking is prohibited in all enclosed or partially enclosed public places. This includes any area closed in by a roof or overhang and two walls. Inform your clients!
CHANGE and CANCEL penalties are non-commissionable!
Holiday Travel Policy
Deposit, Payment and Cancellation information:
- In addition to the normal $125 per person deposit, hotels may have additional deposit requirements.
- Full payment may be due earlier than the normal 45 days before departure.
- In certain circumstances, full payment is due at time of confirmation, and may be totally nonrefundable.
- Cancellation penalties may differ at year end and may be completely nonrefundable.
- Northwest Airlines restrictions will apply for travel Dec. 13, 2009 through Dec. 31, 2009 to Hawaii and travel Dec. 20, 2009 through Jan. 7, 2010 from Hawaii and are totally nonrefundable. After ticketing, no changes may be made, except on return portion and only after travel has commenced. Holiday changes must be made with Northwest Airlines. A change fee / add collect charge will be assessed.
- Please request complete details when making a booking during the holiday time period.
REFUNDS - Please allow 4 weeks to process. Once travel has commenced there will be no refund except for extenuating circumstances. Requests must be made in writing within 30 days of completion of travel. Please attention all correspondence to CUSTOMER SERVICE REFUNDS. REFUNDS WILL BE ISSUED IN THE SAME FORM AS ORIGINAL PAYMENT! NO REFUND will be made for partially used or totally unused tour features or car rentals!
NOT INCLUDED - Tours do not include gratuities, federal taxes, gas, oil, parking, traffic violations, insurance, drop off fees, motor vehicle surcharge taxes, meals, long distance phone calls and other items of a personal nature.
IMPORTANT CUSTOMER INFORMATION - Please inform clients to carry photo identification that corresponds to tickets. Boarding may be denied should proper identification not be available. Please view www.tsa.gov for updates on prohibited items and security measures. Should there be a problem with any component of an All About Hawaii package, the traveler should contact the booking travel agent immediately. All About Hawaii will work with the travel agent to correct the situation. Customer satisfaction during a vacation is very important. Reports of dissatisfaction after return are very difficult, if not impossible, to correct.
ACTIVITIES AND GOLF - All activities and golf are subject to change and or cancel without notice. Please have your clients verify their activities upon arrival in Hawaii. Date, day and or time changes may occur at any time due to weather, low occupancy or mechanical problems.
BAGGAGE - Please review updated baggage charges at www.allabouthawaii.com/aboutus/baggage.htm or call appropriate airline for updated policy. Baggage on transfers to hotel may incur additional charges if oversized. Should your itinerary include flights on Island Air, Horizon Air or any connection carrier please check with those airlines prior to departure for exact size and weight allowed. Any charges for additional luggage must be paid to the airline or transfer company by the passenger. ALL ABOUT TRAVEL, INC. is not responsible for any loss of or damage to passenger’s baggage under any circumstances. We urge the purchase of baggage insurance.
TRAVEL INSURANCE - All About Hawaii recommends that you purchase travel insurance. Travel Insurance is offered through All About Hawaii at an additional cost. Insurance must be purchased prior to or at the time of final payment. Insurance policy is not in effect until the premium is paid. Premium is nonrefundable. Travel insurance provides protection for travel agency commissions in the event of cancellation for a covered reason. Travel Insurance does cover nonrefundable airfare. RESPONSIBILITY: ALL ABOUT TRAVEL, INC, DBA All About Hawaii/Tours (All About), 12168 SW Garden Place, Tigard, Oregon 97223 acts solely AS THE AGENT in providing and arranging all services contracted for your tour. Customer hereby agrees that All About shall not be responsible for injury to person or property from any cause nor for breach of contract, tort, consequential damages, punitive damages, incidental damages or indirect damages in connection with the goods or services provided by any carrier, airline carrier or any other supplier of services including but not limited to the provider of hotel/condominium accommodations. In the event the service provider cannot provide the services outlined in your tour the service provider will exercise efforts to provide comparable services. The airlines concerned will not be held responsible for any act, omission, or event during the times passengers are not on board their planes or conveyances. The customer/passenger’s contract in use by the airline, when issued, shall constitute the sole contract between the airline and the passenger. Any/all transportation companies shall have or incur their liability, if any, as common carriers.
MISCELLANEOUS - All About Travel, Inc. dba All About Hawaii/Tours hereby expressly reserves the right to decline services to anyone at its discretion. All terms, provisions, rates, conditions and other restrictions herein contained are subject to change at any time with or without notice.
